Job Description

About The Role.

As the Head of Loan Administration, you will lead the loan administration function within the fund accounting team, overseeing all aspects of loan servicing, credit fund operations, and reporting. You will collaborate with fund accountants, borrower relations, compliance, and portfolio management to ensure accurate, timely delivery of loan-related financials and investor communications.  

Your duties will include:

  • Build, mentor, and manage a high-performing loan administration team. 
  • Establish policies, procedures, and controls aligned with industry best-practices and internal SLAs. 
  • Drive continuous improvements in workflows, systems, and operational efficiency. 
  • Oversee daily loan accounting operations for private credit and direct lending funds: accruals, paydowns, interest computations, borrowings, and covenant-tracking.  
  • Maintain borrower schedules, collateral data, and support loan closings and drawdowns.  
  • Supervise borrower communications: notices, reminders, covenant compliance checks, and collateral monitoring.  
  • Ensure timely and accurate processing of borrower payments, fee invoicing, and disbursements. 
  • Reconcile loan activity, cash movements, and investment ledger entries across systems.  
  • Prepare internal and external loan activity reports, support audit and compliance deliverables. 
  • Oversee NAV, management fee, waterfall, and partner-reporting in coordination with fund accounting.  
  • Ensure loan-related entries flow correctly into quarterly and annual financial statements prepared under U.S. GAAP.  
  • Coordinate with tax, audit, and compliance teams for year-end and regulatory filings. 
  • Manage expectations and escalations with internal stakeholders (GPs, portfolio teams) and external investors.  
  • Serve as primary contact for borrower relations and investor queries on loan activity. 
  • Implement and maintain loan-servicing platforms and accounting tools. 
  • Identify process bottlenecks and lead enhancement initiatives to improve quality and reduce risk.

About you.

Skills and Requirements:

  • Bachelor’s degree in accounting, finance, or related field; CPA/CFA preferred.  
  • 8–12+ years in fund accounting, with significant exposure to private credit or loan administration. 
  • Proven leadership in managing teams and cross-functional coordination. 
  • Deep familiarity with U.S. GAAP and credit fund structures, including covenants, interest methodologies, paydowns, and waterfall calculations. 
  • Experience with loan/vendor servicing platforms and fund accounting systems. 
  • Strong Excel skills; knowledge of Investran, Opera, or similar fund/accounting software a plus. 
  • Excellent analytical, problem-solving, and attention to detail. 
  • Strong communication and stakeholder-management capabilities. 
  • Ability to manage multiple priorities under tight deadlines. 
  • Dedicated to conforming to local policies and procedures and to accepted professional standards.
